This Privacy Policy explains how Fixtrd Ltd ("Fixtrd", "we", "us" or "our") collects, uses, stores and shares your personal data when you use the Fixtrd mobile application and website. We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the ICO's Children's Code (Age Appropriate Design Code).
1 Who We Are
Fixtrd Ltd is the data controller responsible for your personal data, registered in England and Wales (Company No. 17101784).

2 What Data We Collect
Information you provide:
- Name, team name, sport, skill level, town or city
- Email address and account credentials
- Age group (Adults 18+, Veterans 35+, or Junior age group e.g. Under 12s)
- Gender and gender preference settings
- Availability (days of the week you are free to play)
- Format preference (1v1 or 2v2) for individual sports
- Messages sent through the in-app messaging system
- Ratings and reviews you submit about other users
- Reports submitted (including no-show reports)
- Payment information (processed securely — we do not store card details)
Information collected automatically:
- Device information (type, operating system, unique identifiers)
- Usage data (features used, swipes, matches, session duration)
- Location data (approximate, used to calculate distances — only if you grant permission)
- IP address and push notification tokens
- Firebase Analytics data (anonymous usage statistics)
From third parties:
If you sign in via Google, we receive your name and email from that provider.
3 Children's Data & Junior Safeguarding
Please read this section carefully.
Age requirements:
Fixtrd supports junior sports teams in the following age categories: Under 7s through to Under 18s. Junior teams must be created and managed by a parent, legal guardian, or authorised club official (not by the child themselves).
Parental & guardian consent:
By creating or managing a junior team on Fixtrd, the adult responsible confirms that they:
- Are the parent, legal guardian, or an authorised club official responsible for the team
- Have the authority to consent to the collection and processing of the team's data
- Understand that junior teams are strictly separated from adult teams at all times
- Accept responsibility for the accuracy of information provided
How junior data is protected:
- Junior teams are never shown to adults and adult teams are never shown to juniors
- Junior team matching uses ±1 year group (e.g. U10s can only see U9s, U10s and U11s)
- No direct messaging between adult and junior teams
- Juniors' precise location is never shared — only approximate distances are calculated server-side
- Junior team data is not used for advertising or shared with third parties
Right to erasure:
Parents and guardians may request deletion of a junior team and all associated data at any time by contacting privacy@fixtrd.app. We will action this within 72 hours.
UK GDPR and children:
Under the UK GDPR and the Children's Code (Age Appropriate Design Code), we apply the highest standard of data protection to junior teams. We do not process children's data for profiling, targeted advertising, or any purpose beyond facilitating age-appropriate sports matching.
4 How We Use Your Data
We use your personal data to:
- Create and manage your profile (team or individual player)
- Match you with other teams or players at your skill level and age group
- Enforce junior/adult separation as a safeguarding measure
- Calculate and display approximate distances between users
- Enable in-app messaging between matched users
- Display ratings, trust badges and no-show warnings
- Send push notifications about matches and game requests
- Process subscription payments
- Improve the app and personalise your experience
- Prevent fraud and ensure platform safety
- Comply with legal obligations
Legal basis: contract performance (providing the service), legitimate interests (safety, security, fraud prevention), consent (location data, marketing communications), and legal obligation.
5 Ratings, Reviews & Reports
Fixtrd allows users to rate each other after games on punctuality, sportsmanship and reliability. This data is stored against your profile and displayed to other users.
No-show reports are also stored and displayed as a trust signal. If you believe a rating or report about you is inaccurate or unfair, contact privacy@fixtrd.app and we will investigate within 14 days.
We reserve the right to remove ratings that are found to be false, malicious or in breach of our community standards.
6 Location Data
Location data is used only to calculate approximate distances between users. Precise coordinates are never stored or shared.
For junior teams, no location data beyond town or city is used. You can withdraw location permission at any time in your device settings.
7 How We Share Your Data
We do not sell your personal data. We may share it with:
- Other Fixtrd users — your profile, sport, skill level and approximate location (age group and mode restricted)
- Payment processors — Stripe for web subscriptions (Apple/Google in-app purchases handled by those platforms)
- Analytics providers — Firebase Analytics (anonymous, aggregated data only)
- Cloud hosting — Firebase/Google Cloud (data stored in EU/UK region)
- Law enforcement — where required by law or to protect safety
8 Data Retention
We retain your personal data for as long as your account is active or as needed to provide our services. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial reasons (e.g. payment records, which are retained for 7 years under UK tax law).
9 Your Rights (UK GDPR)
Under UK GDPR, you have the following rights:
- Right of access — to request a copy of your personal data
- Right to rectification — to correct inaccurate data
- Right to erasure — to request deletion of your data (“right to be forgotten”)
- Right to restrict processing — to limit how we use your data
- Right to data portability — to receive your data in a portable format
- Right to object — to object to processing based on legitimate interests
To exercise any of these rights, email privacy@fixtrd.app. We will respond within 30 days.
You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
10 Right to Withdraw Consent
Where we rely on your consent to process personal data (such as location data or marketing communications), you have the right to withdraw that consent at any time. You can do this by:
- Changing your device location permissions in your phone settings
- Unsubscribing from marketing emails using the link in any email
- Contacting us at privacy@fixtrd.app
Withdrawing consent does not affect the lawfulness of any processing carried out before you withdraw it.
11 Automated Decision-Making
Fixtrd uses an algorithm to match teams and players based on sport, skill level, age group, location and availability. This matching is designed to help you find suitable opponents and is not a form of automated decision-making that produces legal or similarly significant effects on you.
You are always free to accept or decline any match, and no decisions about your account status, subscription or access are made solely by automated means without human involvement.
12 International Data Transfers
Your data is primarily stored in Firebase/Google Cloud servers in the EU/UK region. However, some of our service providers (including Google and Stripe) are US-based companies. Where data is transferred outside the UK, it is protected by:
- Standard Contractual Clauses (SCCs) approved by the UK Information Commissioner
- The provider's participation in recognised data protection frameworks
- Data Processing Agreements with each provider
We only transfer data internationally where adequate safeguards are in place as required by UK GDPR.
13 Cookies & Local Storage
Fixtrd uses the following technologies to operate:
- Firebase Authentication tokens — essential for keeping you signed in. These are strictly necessary and cannot be disabled without losing access to the app.
- Local storage — used to remember your preferences and app state (such as cookie banner dismissal). No tracking or advertising data is stored.
- Firebase Analytics — collects anonymous, aggregated usage statistics to help us improve the app. This does not identify you personally.
We do not use advertising cookies, tracking pixels, or any third-party marketing cookies.
For Parents & Young Players
This section explains how we protect children's data in simple terms.
What we collect:
We only collect what we need to help your team find a match — your team name, sport, age group, and the town or city you play in. We never ask for or store your exact address or GPS location.
Who can see your profile:
Only other junior teams in your age group can see your team. Adults can never see junior teams, and junior teams can never see adult teams. This is built into the app and cannot be changed.
Your privacy settings:
Junior teams are automatically set to the highest privacy level. These settings cannot be lowered. We will never ask you to share more information than you need to, or use tricks to encourage you to change your privacy settings.
Deleting your team:
Your parent, guardian or club official can delete your team at any time by emailing privacy@fixtrd.app. We will remove all your data within 72 hours.
No advertising:
We never use your data for advertising or share it with advertisers.
